Greetings Staff,

It is imperative that you encrypt any patient files stored on mobile devices, such as: laptop (notebook) computers, usb flash (thumb) drives or external hard drives. These mobile devices can easily be lost or stolen. Exposing patient information is a serious HIPPA violation with grave consequences, such as: heavy fines and/or termination. See your Pathlore training modules for more details regarding HIPPA patient information exposure violations.

I have attached the encryption program called "AxCrypt." Simply double click on the "AxCrypt" file below to install and follow the on screen directions. Once the program is installed, right click on the file you want to encrypt and choose "AxCrypt", then "Encrypt". Do yourself a favor and give all your encrypted files the same passphrase (password key). If you forget the passphrase, your file will be unrecoverable. When you encrypt the file, check both options: "Remember this for decryption" and "Use as default for encryption." Once you setup a passphrase the first time and select the aforementioned options, all subsequent encrypted files are saved with the same passphrase.

If you send an encrypted file to someone, they need both the AxCrypt program (which is free) and your passphrase to open the encrypted file. Always send the passphrase in a separate transmission and mode from the encrypted file. For example, when you e-mail an encrypted file, you can call or send a text message via your mobile phone to the recipient to give them the passphrase.
