Disaster Prevention/Recovery incorporates Hardware Maintenance, Server Security, Site Security as well as Backup and offsite storage procedures. The following is a basic statement of the Agencies Prevention policies.
A Hardware Maintenance agreement for each File Server and any other Central equipment such as Routers, Switches or Concentrators is suggested. Minimum coverage would be each File Server and Router. File Servers, Routers, Switches or Concentrators should be on a UPS (Uninterrupted Power Supply) to protect the equipment from power damage.
Backups are to be done daily on each File Server. Backups are to be rotated off site. Rotations can be set up with a Sister CMHC or Facility. Daily rotation is the preferred standard with a required weekly minimum. See page “Responsibilities of the Local LAN Administrator for a more complete write up on Backups.
Server Security and Site Security cover some of the same areas of concern. Each Server is password protected and is required to remain password locked at all times except when being accessed for maintenance. Supervisor passwords will be limited to authorized personnel only. Site Security is limiting physical access, power protection (UPS), Environment control, Heating & Air conditioning as well as any other environment influences that would damage the Equipment.
Restoration to the Server is to be coordinated with Network Services prior to any restoration.
Computer/Network Back-up Procedures:
Charleston/Dorchester MHC will utilize an Auto Rotation/21 tape back up system. This will ensure data stored on and off site for up to one year. Backup Exec is the authorized software and associated versions on the network. This is to be conducted at all sites where a server is present.
All tapes will be secured in a fire proof safe until time of destruction. Tape destruction will take place after the tape is held for three years. All tapes should be re-used as necessary and when programs requests. Tapes should not be erased or destroyed unnecessarily.
If in the event of a disaster tapes will be moved to designated offsite locations as needed. Specific instruction will be addressed at the event of a disaster.
All offices will rotate media during Hurricane season. Each Monday designated employees at each office will send one tape to the main center, and the main center will rotate one tape to our closest available inland facility.
In the event tapes are transported they are to be transported and stored in portable fire proof safes provided by Charleston Dorchester MHC.
The above procedures go into effect for all natural disasters or when designated by Director of Computer Services and/or Office of Information Technology.
Users are encouraged to store all data on their Home Directory and not their "C" Hard Drive. DOIT and Computer Services are not being responsible for any data stored on local workstations.
This policy does not in any way void OoNIT specific policy and will administer and comply with all associated policies recommendations directed by Office of Information Technology.
